Getting Started
Setting up vScope Billing enables you to assign pricing to your IT assets, creating a structured and automated billing system. This guide covers the key components and steps to get started.
Assign Assets to Billing Accounts
To begin, assign assets to Billing Accounts either manually or by using filters. Using filters is recommended as it allows assets to be automatically assigned or removed from accounts as your asset inventory updates.
Creating a Tag Based on Rules
- Go to Tags and click Create Tag.
- Select the asset type you want to apply the tag to (e.g., All Machines).
- Enter a name for the tag, such as Billing Account.
- Enter a value, which should be the name of the Billing Account (e.g., Nexora Solutions).
- Define rules to determine asset inclusion, such as:
- Folder = Nexora Solutions
- IPv4 = 10.11.*
- (Optional) Add a description for the rule, then click Save.
Repeat these steps for every asset type and Billing Account you want to create. You may also want to add multiple rules for the same asset type and Billing Account to ensure all relevant assets are included.
Generate Billing Accounts
Once tags are assigned, you need to initialize Billing by generating Billing Accounts.
- Navigate to Billing in the vScope interface.
- Select Generate New Billing Accounts.
- vScope will scan for all values in the Billing Accounts tag and create an Agreement based on the Default Price List. You can update or modify this price list later.
After the initial setup, vScope will automatically check for new or removed Billing Accounts to keep the Billing system up to date.
Preview Agreements
After generating Billing Accounts, you will be automatically redirected to the Billing Accounts Overview.
- Here, you should see all the Billing Accounts you have created.
- Click on a Billing Account to view its associated Agreements.
- If any price items apply to the assets assigned to the Billing Account, the calculated Total for the Agreement will be displayed.
Good job! 🎉
Manage Price Lists
A Price List contains the pricing details for one or more Agreements. You can create multiple Price Lists with different currency settings and pricing structures. Pricing in a Price List is configured using Price Items, such as cost per CPU, E3 license, or application.
An Agreement is generated by matching assets from a Billing Account. If an asset’s configuration matches any Price Item in the Price List, a price is calculated.
Editing a Price List
- Go to Billing > Price Lists.
- Select the relevant Price List.
- Click on any existing Price Item to view and edit its settings.
Editing Price Items
- Enter the details of the Price Item.
- Under Configurations, add filters to apply the price to specific assets and configurations.
- Example: Apply a price to Machines where OS = Windows.
Creating a Price Group
For advanced pricing, you can combine multiple Price Items into a Price Group. This is useful for defining pricing tiers such as Standard/Silver/Gold Server, where multiple Price Items contribute to a single row in the Agreement.
- Bundling allows you to adjust the quantity in the resulting Agreement.
- Example: Include 8 GB of RAM as part of a Standard Windows Server package.
With these steps, you can efficiently get started with visibility in your IT Billing process!
